Why Spreadsheets Are Great in the Early Days

Even as someone who builds custom software, I often tell business owners that spreadsheets (like Excel or Google Sheets) are among the most useful tools ever created. When a business is young, transaction volume is low, and workflows change weekly, spreadsheets offer unmatched flexibility at zero development cost.

As long as one or two people can manage those sheets cleanly without data integrity issues, there is no need to rush into building custom software.

The Tipping Point Where Spreadsheets Become a Bottleneck

Problems emerge as transaction volume grows, more staff members touch the same files, and your business rules become more specialized. From my experience in IT operations and retail management, here are the clearest signs that your business has outgrown spreadsheets:

  • Formulas are accidentally overwritten or broken by staff entering daily transactions.
  • Files become sluggish and difficult to open because they hold thousands of rows and cross-sheet lookups.
  • Access control is impossible: cashier or warehouse staff who only need to log daily items can see sensitive cost-of-goods and company margin formulas.
  • There is no reliable audit trail when stock numbers or historical transactions change unexpectedly.
  • Your workflow involves multi-step data relationships, such as lot-based inventory tracking, product conversions (whole goods processed into packs), and warranty returns.

When Custom Business Software Makes Sense

When spreadsheets hit their limit, you have two choices: adopt an off-the-shelf SaaS tool or build custom business software. If your workflow is completely standard, an existing SaaS product is often sufficient.

However, if your operational workflow is unique to your industry and gives your business its competitive edge, forcing your team into a rigid generic template usually pushes them right back into side spreadsheets. Custom software bridges that gap: the interface matches your exact field SOPs, validation rules keep records clean, and owners get real-time visibility without worrying about broken formulas.
